Power Automate, if your business already lives in Microsoft 365
Power Automate is the obvious choice for a business already paying for Microsoft 365, because much of it is included and it reaches into Outlook, Teams, SharePoint and Excel more naturally than anything else. Outside the Microsoft world it becomes awkward, and premium connectors cost extra.
Read and answered by me, usually within the day. If a spreadsheet and a checklist would do, that is the answer you get.
- I have worked inside Power Automate for a client on Microsoft 365. It is not where my own companies run, and I have less depth here than in n8n. I say so and scope accordingly.
- Scoped in writing, priced before work starts
- Your account, your data, documented as it is built
- Not affiliated with Microsoft. No resale, no commission.

What Power Automate is good at
First
Deep, native reach into Microsoft 365: mail, calendars, Teams, SharePoint lists, Excel tables.
Second
Often already licensed, so the marginal cost of a first automation is zero.
Third
Approval flows and document routing inside Microsoft tools are genuinely good.
Where it is the wrong tool
A business whose systems are mostly outside Microsoft, or one that needs a builder a non-technical owner will enjoy. Premium connectors and the licensing model are a maze.
Who should pick it
Businesses standardised on Microsoft 365 with workflows that stay mostly inside it: approvals, document routing, Teams notifications, Excel-based reporting.
What a Power Automate setup covers
Flows for the map's Microsoft-internal steps, with the licensing checked before anything premium is used, and a decision about whether steps that leave Microsoft belong in a different tool. Documented in SharePoint where your team already looks.
Asked about Power Automate
- We are all in Microsoft. Should everything run here?
- The Microsoft-internal parts, yes. Steps that reach outside, to a CRM, an accounting tool or an AI provider, are often simpler in n8n or Make, with Power Automate handling the Microsoft end. I will say which in the map.
- How much do you know Power Automate?
- Enough to build reliable flows and to know its limits. Less than I know n8n. If your needs are deep inside Power Platform, Dataverse and model-driven apps, I will tell you that and point you to a Microsoft specialist.
- What does it cost beyond Microsoft 365?
- Standard connectors are usually included. Premium connectors and higher run limits are extra, and the licensing changes often enough that I check it at scoping rather than quoting it here.
