What it costs to leave it
The urgent message is the one that gets missed, because it looks like the other two hundred. A customer complaint, a payment question, a lead that mentioned a deadline. Missing it costs more than the hours spent reading everything else.

The starting point
An agent reads each inbound email and call transcript and writes a two-line summary: who, what, what they need, how urgent.
The build
It files the summary to the customer, job or deal record in your CRM, so the history is complete without anyone typing.
What runs by itself
It flags by rule. A complaint, a cancellation, a payment dispute, a lead with a date in it. Those go to a person immediately. The rest go to a digest.

I have run this over nearly four thousand recorded calls in my own companies. It is where I learned what the CRM was missing.
Scope and timing
Triage is a two-week build. It connects your mailbox and your phone system, defines the summary format and the flag rules with you, and runs in shadow mode for a week so you can check its judgment before it acts. It never sends a reply on its own unless you decide it should for a specific, narrow case.
Straight answers
- Will the AI answer my customers?
- Not by default. It reads, summarises, files and flags. Replying is a separate decision, made per case, and most businesses keep it human. The value is in the reading, not the replying.
- Is my email safe with this?
- It runs in your accounts with your credentials under your control, and the AI provider is chosen with data terms that suit your business. For regulated work I configure it so that no message content is retained by the provider.
- What does it get wrong?
- Tone and sarcasm, occasionally. Urgency it reads well. The shadow week exists so you see the misses before they matter, and the flag rules are tightened from what you find.
