From the enquiry to the paid invoice, without retyping anything

The quote is typed from the notes. The invoice is typed from the quote. The reminder is typed when someone remembers the invoice. Each step is a copy of the last one, made by hand, with a chance to get it wrong.

Read and answered by me, usually within the day. If a spreadsheet and a checklist would do, that is the answer you get.

What it costs to leave it

Slow quotes lose jobs. Late invoices delay cash. Forgotten reminders turn thirty-day terms into ninety. A business in Southwest Florida with a seasonal cash cycle cannot afford any of the three, and most are living with all of them.

How quote and invoice automation is built here

The starting point

The quote is generated from the intake form and your price list, in your template, ready to review and send. Minutes, not the evening.

The build

When the job or deal reaches the agreed stage, the invoice is raised in your accounting system and sent. No one has to remember.

What runs by itself

Reminders go out on the schedule you set, in your words, and stop the moment payment lands.

What you own

Deposits, progress payments and final invoices are each their own rule, because a contractor and a consultant do not bill the same way.

Scope and timing

This is usually a two-week build once the process is mapped. It connects your intake (form, CRM or email) to your document template and your accounting system, QuickBooks, Xero or Zoho Books most often. It is scoped in writing with the exact triggers and templates agreed before anything is built.

Straight answers

Does it work with QuickBooks?
Yes. QuickBooks Online, Xero and Zoho Books all connect. Desktop versions are harder and I will say so after seeing what you run.
Can a person still approve the quote before it goes out?
Yes, and for most businesses they should. The automation prepares the quote and puts it in front of the right person. Sending it is one click, or automatic for simple, fixed-price work if you choose.
What about jobs that change after the quote?
Change orders are their own workflow. A revised scope produces a revised quote, linked to the original, and the invoice follows the approved version. That is exactly the case where the manual process loses money.

One form, read by the person who would build it. If the honest answer is a checklist and no software, that is what you will hear.
