Airtable, when the spreadsheet is the system
Airtable is what a business builds when the spreadsheet has become the operating system. It adds relationships, views, forms, interfaces and automations to something a team already understands. It is a fine place for operational data and a limited place for heavy automation.
Read and answered by me, usually within the day. If a spreadsheet and a checklist would do, that is the answer you get.
- I have built Airtable bases and automations for clients. My own companies keep their data in proper databases and their automation in n8n.
- Scoped in writing, priced before work starts
- Your account, your data, documented as it is built
- Not affiliated with Airtable. No resale, no commission.

What Airtable is good at
First
Turning a critical spreadsheet into a real, shared, linked database without a developer.
Second
Forms, views and interfaces that let each role see its own slice.
Third
Simple automations triggered by record changes, plus good integration with the automation platforms for the rest.
Where it is the wrong tool
Large data volumes, complex automation logic, or anything that needs to be a system of record for accounting or compliance. Record limits and pricing per seat bite as a team grows.
Who should pick it
Small teams with operational data that has outgrown a spreadsheet: job boards, inventory lists, content calendars, project trackers, client rosters.
What a Airtable setup covers
The base designed properly, tables and relationships before fields, with the views each role needs, native automations for the simple triggers, and n8n, Make or Zapier connected for anything heavier. Plus a written note on what Airtable is and is not the source of truth for.
Asked about Airtable
- Airtable or a real database?
- Airtable while the team is small and the data is operational. A real database when volume, compliance or integration needs outgrow it. I build both, and I will say which stage you are at.
- Can Airtable be our CRM?
- It can be a light one. If sales is phone-driven with sequences and booking, a purpose-built CRM does more. Airtable is a good place for the operations record that sits behind it.
- Do the built-in automations do enough?
- For record-change triggers and notifications, yes. For multi-step logic, external systems and AI, connect an automation platform. The two work well together.
