The first week with a new customer, client or hire, handled by the system

Every new customer, client or employee starts with the same twenty steps. Forms sent, documents collected, accounts created, someone reminded to do the next thing. It is the same every time and it is done by hand every time, which means it is done differently every time.

Read and answered by me, usually within the day. If a spreadsheet and a checklist would do, that is the answer you get.

What it costs to leave it

Inconsistent onboarding is where the missing signature, the uncollected ID and the unpaid deposit come from. It is also the first impression. A new client who chases you for the paperwork has learned something about how the rest will go.

How onboarding and intake automation is built here

The starting point

The sequence is written once: every step, who owns it, what triggers the next. The automation runs it identically for every new record.

The build

Forms and documents are requested, received and filed automatically, with reminders that escalate to a person only when they have to.

What runs by itself

Accounts, folders, calendar invites and welcome messages are created from the record, in your systems, with nothing retyped.

What you own

A checklist shows where every new customer or hire is in the sequence, so nobody asks whether the paperwork came back.

Scope and timing

An onboarding build is one to two weeks per sequence. Most businesses start with the customer sequence and add the employee one later. It connects your CRM or HR system, your e-signature and document tools, and your email, and it runs in your own automation account with a runbook.

Straight answers

We use a different tool for signatures. Does that matter?
No. DocuSign, Dropbox Sign, PandaDoc, Zoho Sign and others all connect. The sequence is the same; the tool is a step in it.
Can it handle a law firm's intake with the conflict check?
Yes, with the conflict check as a human gate. The automation collects the information and prepares the check. A person confirms it before the matter is opened. That gate is not optional and I would not build it without one.
What about the employee side?
Same pattern. Offer accepted triggers the documents, the accounts, the equipment request and the first-week calendar. HR systems and payroll connect the same way a CRM does.

Tell me what is in the way.

One form, read by the person who would build it. If the honest answer is a checklist and no software, that is what you will hear.
