Five systems, one version of the truth

The customer's address is right in the CRM, wrong in the accounting system, and missing from the inventory tool. Which one is true depends on who updated it last. Nobody knows, so everyone checks all three.

What it costs to leave it

Disagreeing systems produce wrong invoices, wrong deliveries and wrong reports, and each one is discovered by a customer or an accountant rather than by you. The cost is not the fix. It is the hours of reconciliation every month and the decisions made from numbers that were never right.

How data sync between systems is built here

The starting point

One system is declared the source of truth for each kind of record, in writing, and the others are made to follow it.

The build

Syncs run on a schedule or on change, with a log of every record touched and an alert when one fails. I run one of these across nearly sixteen thousand records with a zero-failure record because that is how it is built.

What runs by itself

Duplicates are found and merged once, then prevented, because a sync between dirty systems just spreads the dirt faster.

What you own

Nothing is deleted by an automation. Records are archived and flagged. Deletion stays a human decision.

Scope and timing

A sync engagement starts with a data read of each system, which usually takes a few days and tells us how bad it is. The build is one to three weeks depending on how many systems and how dirty the data. It runs in your own automation account or as code you own, and it is documented down to the field mapping.

Straight answers

Which systems have you connected?
CRMs, accounting, inventory, HR, e-commerce, spreadsheets and internal databases. The method is the same every time: pick the source of truth, map the fields, sync, log, alert. The tools change. The method does not.
What if two systems both need to be editable?
Then the sync is two-way with rules about which wins on conflict, and those rules are written down before anything runs. Two-way sync without written conflict rules is how data gets destroyed.
Can we start with just two systems?
Usually you should. CRM to accounting is the most common first pair and the one that removes the most retyping. Others follow once that is stable.
